Executive Assistant

Tasks:

  • Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Provide general administrative support, including preparing reports, handling correspondence, and managing files.
  • Act as the point of contact between executives and employees or other stakeholders.
  • Prepare and edit communications, presentations, and other documents.
  • Manage and organize meetings, including agenda preparation, attendee coordination, and minute-taking.
  • Handle confidential documents and information with discretion.
  • Assist in the preparation of financial statements, budgets, and expense reports.
  • Conduct research, collect data, and prepare papers for consideration and presentation by executives.
  • Coordinate and direct office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping, to aid executives.
  • Use various software, including word processing, spreadsheets, databases, and presentation software to perform tasks.

Executive Assistant

Qualifications:

  • Proven experience as an executive assistant or in other secretarial positions.
  • Full comprehension of office management systems and procedures.
  • Excellent knowledge of MS Office, as well as software tools like CRMs and project management platforms.
  • Proficiency in English; exemplary planning and time management skills.
  • Ability to multitask and prioritize daily workload.
  • High level of discretion and confidentiality for both business and personal affairs.
  • Exceptional interpersonal skills with the ability to work well with people at all levels.
  • Outstanding organizational and leadership abilities.
  • Aptitude in problem-solving and decision-making.
  • BSc/BA in business administration or relevant field; additional qualifications as a personal assistant or secretary are a plus.
